Terms of service
These terms describe the basic conditions for using the Polisystem policy administration platform.
Last reviewed: October 2026
1. Permitted use
Use the platform for lawful business administration, member servicing, policy management, premium workflows, claims handling and related operations. You are responsible for the accuracy and lawful collection of information entered by your organisation.
2. Organisation accounts
The organisation that registers an account is responsible for its users, role assignments, tenant data and activity. Give staff individual accounts, restrict access to the duties they perform and protect account credentials.
3. Plans, subscriptions and payments
Plan availability, limits, trial eligibility, billing cycle and charges are shown in the applicable account or subscription flow. Provider terms, taxes, cancellations and refunds are governed by the applicable agreement, invoice or payment terms presented for that subscription.
4. Your records and compliance
Your organisation remains responsible for maintaining required records, having appropriate authority to process the data it submits, checking payment-provider outcomes and making claims and policy decisions. Polisystem provides administration software; it does not issue an operator licence or guarantee regulatory compliance.
5. Service availability
Access may be interrupted by maintenance, network issues, hosting conditions or third-party provider availability. No uninterrupted-service guarantee is made by these terms. Keep appropriate records and follow your business continuity procedures.
6. Acceptable use and changes
Do not attempt unauthorised access, disrupt the service, upload malicious content or use the platform to process data unlawfully. Updated terms will be published on this page; account-specific agreements continue to apply where relevant.
